My Daily AI Workflow: How to Stop Doing Repetitive Work
I used to think being busy was cool.
A full schedule from morning until afternoon.
Back to back meetings with no breaks.
Replying to emails and checking reports until eleven at night.
I thought that was absolute proof I was working hard.
But when I sat down and thought about it slowly, I realized one painful truth.
I was wasting time and energy on things that should be automated.
I was doing repetitive tasks every single day.
Copying and pasting data from one sheet to another.
Summarizing long documents into meeting bullet points.
Thinking up captions for promotional content.
All of that looks busy. It looks like productivity.
But it is an illusion.
It is just repetitive work that makes you tired without delivering any big impact to the business.
It is like plowing a field with a tiny hoe when a tractor is sitting right in front of you.
On paper, you look like you are working hard and sweating all day.
But your results will never beat someone who knows how to use the right tool.
That is where the real cost lies.
You pay for that inefficiency with your own time, focus, and patience.
And your energy is gone before you even touch the strategic work.
Making operations highly efficient is an old habit of mine.
I was doing this long before AI became a trend.
At my previous companies, I drove various cost saving initiatives alongside cross functional teams.
We improved daily work processes.
We optimized infrastructure and service costs.
We made sharper, more targeted product decisions.
In total, those efficiency initiatives saved over USD 4 million per year.
And remember, automation was only one of the sources back then. It was not the only one.
But there was a very high price to pay in that era.
To get massive efficiency results like that, I needed serious resources.
I needed a strategic position in management to make the call.
I needed a team of engineers ready to write and maintain code.
I needed expensive systems and months of development time.
Basically, large scale efficiency was a privilege reserved for well funded companies with big tech teams.
Now? The rules have completely changed.
AI is the sharpest tool available to continue my old efficiency habit.

You no longer need to wait in an engineering backlog.
Anyone can build automated solutions for their own problems on the exact same day.
How to Think About AI for Productivity
Every time I talk about AI, people ask the same question.
"Brian, what are the best AI tools to use?"
That is the wrong question.
If you focus on tools, you will only confuse yourself.
New tools are released every single month.
What you need to fix first is how you think.
Using AI for productivity is simply about dividing tasks.
Which tasks should you do yourself with your own brain?
And which tasks should you delegate to a machine?
My principle is very simple.
If a task requires empathy, emotional context, or a final strategic decision, I handle it.
AI is never allowed to make the final call.
But if the task is repetitive, has a clear pattern, or just involves extracting data from long text, I throw it straight to AI.
A Daily Workflow That Runs Itself
Let me give you a real example from my own routine.
I need to distribute content for brianarfi.com.
If I used the old way, running 8 content channels would require an entire team.
I would need people to edit, write captions, and handle manual uploads.
Now, I built an 8 channel content distribution engine and I operate it alone.
One long video that I record gets automatically cut into short clips.
Then it is instantly distributed to YouTube, Shorts, Reels, Stories, WhatsApp, LinkedIn, and Threads.
The system manages the publishing schedule on its own.
A daily report lands on my desk every morning.
My only job is to do a quick review and give the green light.
Work that previously required coordinating many people now runs automatically every day.
And most importantly, I built the automation myself without having to be a pure engineer.
I used the exact same approach to build the Applied-AI Certification system, which runs from end to end without a development team.
Outside of content creation, a lot of managerial work can also be cut down.
Imagine you need to review 50 CVs to hire a new team member.
If you read them one by one, your eyes hurt and your focus drops.
You waste 3 hours just sorting through applications.
Now, I give those 50 CVs to AI.
I ask it to summarize each candidate.
And I tell it to flag the ones that best match my job description criteria.
As a result, I only need to read a shortlist of the best candidates.
What used to take 3 hours is now done in just 20 minutes.
Or take the process of writing materials and brainstorming ideas.
Creating a content caption plus 10 hook variations for A/B testing can be done in minutes.
You do not need to stay up all night waiting for an idea to fall from the sky.
Have a rough idea in your head? Just write the core points.
Give it to AI, and ask it to polish the tone so it matches your writing style.
Two minutes later, it is done.
Have a 30 page report you need to read fast before a meeting?
Ask AI to turn it into 5 bullet points and clear action items.
Getting Your Time Back
All the examples above share one common thread.
Repetitive work that usually eats up 2 to 3 hours a day drops drastically to a matter of minutes.
And the main advantage here is control.
You are the one building the automation.
You set the workflow exactly how you need it.
Take a moment to calculate it.
