Building a Sane Remote Work Schedule Using AI
The plan was to have total freedom over my time.
The reality was working nonstop without any breaks.
At first, I thought I just needed more discipline.
I thought I was not being hard enough on myself.
In truth, I was forcing my brain to work far beyond normal human limits.
How does this happen?
Think of it like this. You have a small bucket.
But you try to fill it directly from a fire hose.
On paper, you think you are watering the plants really fast.
In reality, your bucket shatters and water spills everywhere.
That is exactly how we build our remote work schedules every day.
We cram dozens of tasks into a single day.
Back to back meetings. Replying to massive email threads. Writing heavy strategy documents.
No pauses. No time to even take a breath.
We tell ourselves we just need to get it done today.
But the result is total mental exhaustion.
The time we are supposed to spend resting with family gets swallowed by work.
When I first tried using AI to fix my daily schedule, the result left me speechless.
A workload that used to stress me out for the whole day suddenly looked entirely manageable.
Not because my tasks magically disappeared.
But because the workload was finally calculated in a realistic way.
The Dark Reality of Tech
People in this industry love talking about innovation.
If you follow tech news, you see constant analysis about the startup ecosystem.
Tech media is always giving us updates on which company got new funding or pivoted their business model.
They love covering the incredible speed of our industry.
But there is one crucial thing that rarely makes the front page.
Behind the shiny news of innovation, there is a dark reality about remote work.
Working from home often destroys the boundary between the living room and the office.
We work incredibly hard to hit company targets, but we completely forget to manage a schedule for ourselves.
As a result, great talent simply collapses.
They burn out because of a daily routine that makes absolutely no sense.
Efficiency is an Old Habit
I have spent two decades building digital products.
From building ecosystems at Tokopedia and Hijra, to my time at Flip.
Now I lead four product teams building a loyalty platform in Saudi Arabia and the GCC.
Making companies lean is an old habit of mine, way before AI became a trend.
I have helped save over $4 million per year through various cost saving initiatives.
This came from process improvements, cost optimizations, and more efficient product decisions.
At Flip, money transfer costs dropped by about 32 percent in six months.
We rerouted transfer paths, threw out redundant systems, and ruthlessly cut wasteful processes.
Elsewhere, OTP costs were slashed by up to two million dollars a year just by cleaning up system logic.
Automation was only one of the weapons we used, not the single source of those savings.
Back then, getting that kind of leverage required a strategic position, a solid engineering team, and extremely expensive infrastructure.

The Prompt for a Sane Schedule
Many of my friends fail when they try using AI for time blocking.
Why? Because their instructions are far too shallow.
They just type, "Make a work schedule from 9 AM to 5 PM".
The result? AI gives you a purely robotic schedule.
No time allocated for deep thinking. No time to rest your eyes.
The AI needs to know the real weight of your work for that specific day.
It needs to know which tasks are heavy and require deep focus, and which tasks are light and can be cleared quickly.
Here is the exact prompt I use to build a daily schedule that is actually human:
"My role is Product Manager. My working hours are from 09:00 to 17:00. Today I have the following list of tasks:
One, write a product specification document for a new feature. This is a heavy task that requires deep focus.
Two, review the interface design from the graphics team. This is a medium task.
Three, reply to emails and update tickets on the work board. This is a light task.
I also have synchronization meetings scheduled at 11:00 and 14:00.
Please build a highly realistic daily time blocking schedule for me. Give me sufficient rest breaks between heavy tasks. Ensure this schedule prevents brain fatigue and please calculate the transition time between tasks."
The moment you use this prompt, the results will be entirely different.
The AI will break your focus into time blocks that a human brain can actually handle.
It knows you cannot possibly write a strategy document for three hours straight without a pause.
The Price of Bad Timing
That is when I truly understood one core principle.
The true cost of a work system is not just the total output you produce that day.
The real cost is the mental health price you pay when that schedule causes you to collapse.
A completely packed schedule with zero breaks does not mean you are a hard worker.
It just means you do not know how to prioritize your own life.
And if you force a machine rhythm onto a human body, you will inevitably break down halfway through.
Every time you force yourself to work overtime because of a messy daily schedule, you bear the loss alone.
You pay for it with your sleep. You pay for it with precious time away from your family.
Just like the broken bucket in the story earlier.
That is why my only rule now is very simple.
Put the most powerful tool at the exact point where a mistake costs you the most.
For me, managing my daily time is that most crucial point.
What I thought was a waste of five minutes writing a prompt in the morning is actually a vital investment that saves my resting hours.
What I thought was an annoying extra step actually gives me total control over the rest of my day.
AI is not just powerful for cutting server operational costs.
